Tenant Screening Secrets: How We Maintain 98% Occupancy

The key to low vacancy isn't finding tenants fast. It's finding the right tenants. Here's the screening process behind our 98% occupancy rate.

The difference between a profitable rental property and a money pit almost always comes down to one decision: who you put in the unit. After 15 years and more than 200 units across El Segundo, Hawthorne, Torrance, and the broader South Bay, I can tell you that our 98% occupancy rate has nothing to do with luck. It comes from a screening process we have refined through every mistake in the book.

The most important mindset shift I can offer: stop hunting for a fast tenant and hold out for the right one. Every day a unit sits vacant feels painful, and I understand that. But a bad placement will cost you somewhere between $15,000 and $25,000 when you factor in legal fees, lost rent, and property damage. Compare that to the $50 it costs to run a thorough screening. That is $50 against a potential $25,000 loss.

Our Baseline Criteria

We start with four non negotiable requirements. First, verifiable income of at least three times the monthly rent. We require pay stubs, tax returns, or an employment verification letter. Second, a credit score of 680 or above, but we pull the full credit report, not just the number. A score can look fine while the report underneath tells a different story. We are looking at payment history, collections, and debt to income ratios. Third, at least two years of rental history with verifiable references. Fourth, current employment confirmed directly with the employer.

These four filters eliminate the vast majority of problematic applicants before we ever get to the nuanced judgment calls.

The Step Most Landlords Skip

Here is the single most valuable screening tip I can share: call the landlord before the current one. Not the current landlord. The one before that.

The current landlord has a potential conflict of interest. If they have a tenant they want gone, they are financially motivated to give that person a glowing reference so someone else takes on the problem.

I learned this the hard way. Years ago we placed a tenant in a Hawthorne unit based on what seemed like a genuinely enthusiastic reference from their current landlord. Great communication, always pleasant, no issues at all. Three months in, rent payments stopped. When we finally got into the unit, there was over $8,000 in damage. Holes in walls, stained carpets, a bathroom that looked like it had not been cleaned once since move in.

When I tracked down the previous landlord, the one before the reference we had called, she told me she had been trying to get that tenant out for over a year. The current landlord knew exactly what they were doing when they praised them to us.

Since that day, we always go back one landlord further. It has saved us more times than I can count.

Fair Housing Compliance

Screening has to be rigorous and legal. You cannot ask about family status, disability, religion, national origin, or source of income. California law specifically prohibits discrimination against Section 8 voucher holders. Your criteria must be applied consistently to every applicant, documented in writing, and based on objective financial and behavioral standards.

Consistent criteria keep you out of court, and they also make the screen better, because objective standards like income, rental history, and employment are what predict how a tenancy goes.

Speed Without Cutting Corners

A thorough process does not have to be a slow process. We have built our pipeline to move fast without sacrificing quality.

Pre qualification happens before showings. We collect basic income and credit information upfront, which filters out roughly 40% of inquiries before anyone drives to the property. This saves time for everyone involved. Applications are processed same day. We have relationships with screening services that return results within hours. Decisions are communicated within 24 hours of a complete application.

The key word there is complete. We do not make decisions on partial information, and we do not let urgency override the process.

Building a Tenant Pipeline

Professional marketing doubles as a screening tool. High quality photos, detailed descriptions, and syndication across more than 20 rental platforms attract better applicants. When your listing looks professional, professional tenants respond to it.

We also maintain a pre qualified tenant database. About 15% of our placements come from tenants we have already screened who are waiting for the right unit. This dramatically reduces vacancy time because we can match qualified applicants to new listings before they even hit the market.

The Aerospace Advantage

One pattern unique to the South Bay that I want to highlight: tenants who hold security clearances through the aerospace and defense employers in El Segundo, Hawthorne, and the surrounding area are among the most reliable renters we have ever placed. In 15 years, we have never had to evict a single clearance holder.

The reason is straightforward. An eviction or financial judgment can jeopardize their clearance, which jeopardizes their career. They have an additional layer of motivation to pay rent on time and maintain the property well. If you own rental property near aerospace employers, this is a tenant pool worth cultivating.

What the $50 Actually Buys You

Screening looks picky from the outside. What it protects is an asset probably worth somewhere between $500,000 and $2,000,000. The $50 you spend on a thorough background check is the highest return investment in your entire operation.
